Project Management Assistant


We are currently seeking a Project Management Assistant to join our team and provide clerical support to the Project Manager(s) and Field Superintendent(s) by effectively executing administrative duties for the firm’s commercial construction projects.

  • Construction experience in a plus
  • Viewpoint software experience is a plus


  • Proficiently administers all clerical duties such as typing, emailing, etc.
  • Prepares all subcontracts and purchase orders and maintain their perspective logs.
  • Prepares all change orders to subcontracts and purchase orders
  • Maintains all project logs: subcontractor/purchase order, submittal, change order proposals, RFI, closeout documents, drawing and other logs, if required by the architect
  • Prepares all change order proposals initiated by the Project Manager
  • Prepares all change orders to the project contract, if required
  • Maintains daily follow-up file of all outgoing project correspondence
  • Expedite all correspondence for mailing.
  • Administers the resolution to “follow up” issues other than those requiring assistance from the project manager.
  • Prepares monthly pay applications to the owner and presents document to notary for notarization.
  • Assists the Project Manager and Field Superintendent in scheduling material deliveries.
  • Assist PM and APM in securing and preparing all submittals and/or shop drawings to be forwarded to the architect.
  • Updates the project information sheet on a bi-weekly basis.
  • Scan all approved “As-Builts” to be filed on the network.
  • Prepares project contracts between owner and contractor and/or contractor and architect.
  • Prepares all transmittals for correspondence, materials, etc., leaving the office without a cover letter.
  • Performs other office-related duties, as required and assigned
  • Possesses the ability to exercise considerable judgment in completing assignments.
  • Must represent the company in a professional manner at all times.
